IQIR™ – Inspection -Quality Intelligence Report

What Is the IQIR?

The Inspection & Quality Intelligence Report (IQIR) is SGHG Cleaning’s standardized inspection tool used to document cleaning performance, site conditions, and observed risks during routine service visits.

The IQIR is not a disciplinary or enforcement document. Its purpose is to:

  • Verify services performed within the contracted scope
     
  • Provide visibility into site conditions that may impact cleanliness or safety
     
  • Support continuous quality improvement through consistent documentation

How the IQIR Is Used

Each IQIR is completed on-site by SGHG personnel and includes:

  • Date, time, location, and staff identification
  • Area-by-area inspection using a standardized scoring scale
  • Photo documentation when relevant
  • Notes distinguishing SGHG-responsible conditions from client-created conditions
  • Reports are retained for internal quality control, trend analysis, and service verification.

Quality Scoring Explained

Inspection areas (offices, restrooms, common areas, break rooms, etc.) are scored using a 0–5 scale:

  • 0 – Area not accessed or not in scope
     
  • 1–2 – Below expectations
     
  • 3–4 – Meets expectations
     
  • 5 – Exceeds expectations
  • Scores reflect observed conditions at the time of inspection, not assumptions about prior or future use.

Time-on-Site Measurement

IQIR includes system-calculated on-site time, derived from verified check-in and check-out timestamps.
This supports:

  • Service verification
  • Staffing optimization
  • Operational consistency
  • Time data is read-only and cannot be edited by field staff.

The IQIR may document conditions observed that are outside SGHG’s service scope, such as:

  • Liquid waste placed in office trash receptacles 
  • Food or beverage spills in carpeted areas
  • Security or access issues observed at time of service. 

These observations are recorded for awareness only and do not assign fault or responsibility.

SGHG Cleaning provides routine janitorial services as defined in the service agreement.
The IQIR may note—but does not obligate—SGHG to perform:

  • Carpet extraction or restoration

When applicable, such conditions are clearly labeled as out of scope.

1. What is the IQIR?

The Inspection & Quality Intelligence Report (IQIR) is SGHG Cleaning’s standard inspection report used to document cleaning services performed, site conditions observed, and quality checks during routine visits.

Its purpose is to promote transparency, consistency, and service quality.

2. Why does SGHG use the IQIR?

The IQIR helps SGHG:

  • Verify that contracted services were completed
  • Maintain consistent quality standards
  • Identify recurring issues that affect cleanliness or safety
  • Improve service delivery over time 

It also provides clients with clear, factual documentation of each visit.

3. Does the IQIR evaluate employee behavior or tenant compliance?

Our window cleaning services are designed to keep your windows looking clean and clear. We use high-quality cleaning products and tools to remove dirt, grime, and streaks from your windows. Our team of professionals is equipped to handle windows of all sizes and types.

4. What do the inspection scores mean?

Areas are scored on a 0–5 scale:

  • 0 – Area not accessed or not included in the service scope 
  • 1–2 – Below expectations
  • 3–4 – Meets expectations 
  • 5 – Exceeds expectations 

Scores reflect the condition of an area at the time of inspection only.

5. Why does the report include time-on-site information?

Time-on-site is automatically calculated using check-in and check-out timestamps.
This helps SGHG:

  • Verify service visits
  • Ensure staffing consistency
  • Improve scheduling and efficiency 

The time value is system-generated and cannot be edited.

6. Why are spills or trash issues sometimes noted?

The IQIR may document conditions such as:

  • Liquid waste in office trash cans 
  • Food or beverage spills
  • Overfilled or damaged receptacles

These notes are included for awareness and trend tracking, not to assign blame.

7. Is SGHG responsible for liquid spills or carpet damage?

SGHG provides routine janitorial services only, as defined in the service agreement.

Liquid spills that result from how waste is disposed of—especially in carpeted areas—are outside the scope of routine janitorial services. When such conditions are observed, they may be noted in the IQIR for documentation purposes.

8. Why are some issues labeled “client-created” or “out of scope”?

These labels help clearly distinguish between:

  • Conditions related to SGHG’s cleaning responsibilities, and
  • Conditions caused by normal building use or occupant activity

This distinction protects clarity and prevents misunderstandings.

9. Are photos taken during inspections?

Photos may be taken only when relevant, such as to document:

  • Spills
  • Access issues
  • Safety concerns
  • Unusual conditions

Photos are used strictly for quality documentation and internal review.

The IQIR is an informational quality report, not a compliance citation, warranty, or guarantee.
It complements—but does not replace—the terms of the service agreement.
